Ilmarinen

The large office building is flooded with light and clean surfaces, with quiet chatter and the clicking of keyboards in your ears. Around the corner, the smell of freshly brewed coffee and the sound of laughter. We're in the newly renovated offices of Ilmarinen, an employment pension insurance company, in Ruoholahti, Helsinki. This is what a well-designed working environment looks and sounds like.

"Workspaces are a very essential part of a comfortable workplace," recalls Anu Ahlgren, who is project manager for the project called Energising Work Community.

Ilmarinen dared to take a big leap from old-fashioned spaces and ways of working, and moved to a modern way of perceiving workspaces and working. It now has tools and spaces that support mobile working.

"No one has their own designated workstation, except for employees whose jobs require a fixed workstation for technology. Workers can choose the location that best suits them and their job, even several times a day. There is plenty of choice, from working in a workstation to quiet rooms, a cosy meeting room or an open space with a relaxed couch. If you want to work together, there are team rooms for a few people and meeting rooms of different sizes, all equipped with technology to support remote working. Remote working is also encouraged, and the current solutions are well suited to it." Ahlgren sums up the biggest change.

"I now meet colleagues in a completely different way than before. I can take the machine with me and do my work in the most convenient place." Ahlgren says enthusiastically.

"It was essential that when the renovation was completed, all users should have the feeling that things were working better than before. This means pressure on the IT and AV side in particular." Heikki Niemi adds.

Heikki Niemi is responsible for the AV services in the common areas of the property, which are available to everyone who visits the Ilmarinen property on the first floor of the building. The large office building's meeting rooms contain technology to operate easily. To facilitate day-to-day operations, a few meeting rooms were also left for ad hoc use. The project worked with Ilmarinen's partner Fujitsu on the technological possibilities.

"As the size and needs of this project began to take shape, we decided to create a larger than usual service concept for Ilmarinen's property," says Jyri Ilomaa of Fujitsu.

The responsibility for the technical solutions of the project was transferred to Fujitsu and its subcontractors. Audico joined the project as Fujitsu's long-term partner and AV expert.

The first step in upgrading the AV technology was to refurbish Ilmarinen's own meeting rooms on different floors. In the common areas, a significant part of Audico's delivery was the provision of booking status indicators and booking-enabling door displays in the meeting rooms. To take advantage of these, a new reservation and visitor management system is being implemented throughout the property.

Audico also equipped the meeting rooms and lounges with the necessary screens and projectors. Ease of use and elegance are the guiding principles of the building's meeting rooms. The AMX system products supplied by Audico help bridge the gap between technology and users. AMX products cover technology maintenance, control, automation and audio/video transmission.

The key to the service concept is the possibility of continuous maintenance and support for Ilmarinen. Fujitsu and Audico, as expert partners, are committed to maintaining and monitoring the functionality and security of the equipment supplied.

"This is the largest service concept project implemented in Finland. The results are very positive; all parties involved feel successful! It is good to continue this in the future in other similar projects," says Fujitsu's Ilomaa. Anu Ahlgren and Heikki Niemi of Ilmarinen and Mikko Tenhunen, Project Sales Manager at Audico, share the same sentiment.

"It's like a new job!" Ahlgren exclaims at the successful outcome of the project.
